Privacy Policy and Procedures
Campden Music
Campden and District Music Society, usually abbreviated to Campden Music, is a charity and is funded by individual subscribers and donors. Our registered charity number in England and Wales is 287569.
The objects of the Society shall be to educate the public in the arts and sciences and, in particular, the art and science of music, by the presentation of concerts and other activities.
Purpose of policy
This policy outlines the procedures for collecting, storing, protecting and sharing personal and sensitive data by Campden Music and is written in a style as though an individual member were being addressed.

This policy applies to all volunteers and Trustees of Campden Music.
Background
Campden Music is committed to protecting the personal and sensitive information of its members, donors, performers, advertisers, sponsors and anyone else involved in the normal course of its activities.
Using personal information allows us to develop a better understanding of our audience and in turn to provide members with relevant and timely information about the work that we do. As a charity, it also helps us to engage with potential subscribers and donors.
We use members’ information in accordance with all applicable UK laws concerning the protection of personal information. This policy explains: the information we may collect about you; how we may use that information; in what situations we may disclose your details to third parties; our use of cookies to improve your use of our website; how we keep your personal information secure, how we maintain it, and your rights to be able to access it.
Information collection
We collect various types of information and in a number of ways.
Information you give us
For example, when you subscribe to our database via our website, become a member, or make a donation, we will store personal information that you give us such as your name, email address, postal address and telephone number. We may also store a record of your purchases and donations.
Information about your interactions with us
When we send you emails we may keep a record of which ones you have opened and which links you have clicked on.
Information from third parties
We receive no information about you from third parties and will never pass your information on to any third parties.
Sensitive personal data
Data Protection law recognises that certain categories of personal information such as health information, race, religious beliefs and political opinions are more sensitive. We never collect this type of information.
Legal bases
There are three bases under which we may process your data.
Contract purposes
When you subscribe to Campden Music, you are entering into a contract with us. In order to perform this contract, we need to process and store your data. For example, we may need to contact you by email or telephone in the case of cancellation of a concert, or in the case of problems with your payment.
Legitimate business interests
In certain situations, we collect and process your personal information for purposes that are in our legitimate interests. We only do this, however, if there is no overriding prejudice to you by using your personal information in this way. We describe below those situations where we may use this basis for processing.
With your explicit consent
For any situations where the two bases above are not appropriate, we will instead ask for your explicit consent before using your personal information in that specific situation.
Marketing communications
We aim to communicate with you about the work that we do in ways that you find relevant, timely and respectful. To do this we use data that we have stored about you, such as what events you have booked for in the past.
We use the legitimate interests of Campden Music as the legal basis for communications by post and email. In the case of postal mailings, you may unsubscribe from our mailing list at any time by writing to us using the contact details at the end of this policy. In the case of email, we will always give you an opportunity to opt out of receiving marketing information during your online payments to us. If you opt to be added to our database we will provide you with an option to unsubscribe in emails that we subsequently send you or, alternatively, you can use the contact details at the end of this policy.
We will never contact you about our work by telephone for marketing purposes. We may, however, contact you by telephone if need be in relation to your membership or other donations.
Cookies
Cookies are small text files that are automatically placed onto your electronic devices by some websites that you visit. They are widely used to allow a website to function as well as to provide website operators with information on how the site is being used. We use cookies to keep track of your subscription basket as well as to identify how the website is being used and any improvements we can make.
Maintaining your personal information
The only personal information we store is your name, postal address, email address and telephone numbers. We may also keep a record of concerts for which you have booked guest tickets. For Gift Aid purposes we also keep a record of any donations you make to the Society. Please contact us if you have any questions about the personal information we hold.
Security of your personal information
We will put in place appropriate safeguards, both in terms of our procedures and the technology we use, to keep your personal information as secure as possible. We will ensure that any third parties we use for processing online membership, donations, and other payments do the same.
Your rights to your personal information
You have a right to request a copy of the personal information that we hold about you and to have any inaccuracies in this data corrected. Please use the contact details at the end of this policy if you would like to exercise this right.
Annual Review
This policy shall be reviewed on an annual basis to ensure that it remains appropriate and relevant.
